How to use the time card calculator

  1. Enter each day’s clock-in and clock-out time. Type them however you like: 9, 9:30, 930, 5pm or 17:30.
  2. Add the unpaid break in minutes, such as 30 for a half-hour lunch.
  3. Add the hourly rate if you want gross pay. Leave it blank for hours only.
  4. Print the time card or download it as a CSV for your payroll records.

Your last time card stays in this browser, so you can come back to it. Nothing is sent to us.

How to calculate hours worked for payroll

For each day, subtract the clock-in time from the clock-out time, then subtract unpaid breaks. Add the days together for the week.

Converting minutes to decimal hours

Payroll works in decimal hours, so 8 hours 30 minutes is written 8.50, not 8.30. Divide the minutes by 60 to convert them.

Overtime and time and a half

Under the federal Fair Labor Standards Act, most hourly employees must be paid at least one and a half times their regular rate for hours over 40 in a workweek. At $18 an hour, overtime is $27 an hour. Some states add daily overtime or other rules, and some roles are exempt, so check the Department of Labor’s overtime guidance and your state’s labor department. You can change the overtime threshold and multiplier in the calculator.

Gross pay vs take-home pay

The pay figure here is gross pay: hours times the rate, before taxes and deductions. What lands in the employee’s bank is net pay. Our guide to gross vs net explains the difference.
